Vital Labs (“we”, “us”) supplies laboratory research materials to customers in Canada. This policy explains what personal information we collect, why we collect it, how we handle it, and what rights you have over it. It is written to meet Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

By using this website or placing an order, you acknowledge that you have read and understood this policy. If there is any conflict between this policy and our Terms of Service, this policy governs questions about personal information.

Information we collect

  • Order information — your name, email address, phone number, billing address, shipping address, and the contents of your order.
  • Payment information — we use manual payment methods, so we receive confirmation that a payment was sent and any reference you supply with it. We do not collect or store credit card numbers, and we never ask for banking passwords or account credentials.
  • Account information — if you choose to create an account, your login credentials and order history. Accounts are optional; you can check out as a guest.
  • Eligibility and verification information — confirmation that you meet the age requirement, and, where we ask for it, documentation of your age or institutional affiliation.
  • Correspondence — the content of emails and messages you send us, including anything you attach.
  • Technical information — IP address, browser and device type, pages viewed, and the site that referred you, collected through cookies and similar technologies.

How we collect it

  • Directly from you, when you place an order, create an account, or contact us.
  • Automatically as you use the site, through cookies and standard web analytics.
  • From our service providers, where they process information on our behalf — for example our ecommerce platform or shipping carriers.

Why we collect it

We use personal information only for the following purposes:

  • Fulfilling your order — processing the purchase, confirming payment, arranging shipping, and providing tracking.
  • Customer support — answering your questions and resolving problems with an order.
  • Confirming eligibility — verifying that purchasers meet the age requirement and the conditions set out in our Research Use Only Notice.
  • Fraud prevention and security — detecting and preventing fraudulent orders, chargebacks, and misuse of the site.
  • Legal and record-keeping obligations — meeting tax, customs, and commercial record requirements.
  • Marketing — but only where you have expressly opted in. See below.

Consent and marketing email

Providing your information in order to complete a purchase is your consent for us to use it for that purchase.

Marketing email is separate. Consistent with Canada’s Anti-Spam Legislation (CASL), we send it only to people who have expressly opted in, and every message carries a working unsubscribe link. You can withdraw consent at any time, using that link or by emailing us. Withdrawing marketing consent does not affect orders already placed, and does not stop transactional messages such as order and shipping confirmations, which we must send to fulfil your purchase.

Age requirement

This site is not intended for minors, and we do not knowingly collect personal information from anyone under the age of majority in their province or territory. Visitors must confirm they meet the age requirement before browsing. If you believe a minor has provided us with personal information, contact us and we will delete it.

Who we share it with

We share personal information only where it is necessary to run the business, and only with parties who need it to perform their function:

  • Our ecommerce platform, which hosts this store and processes orders.
  • Shipping carriers, and customs authorities where a shipment crosses a border.
  • Service providers such as email and analytics tools.
  • Professional advisors, where necessary, and law enforcement or regulators where we are legally required to respond to valid legal process.

We do not sell your personal information, and we do not share it with data brokers or advertising networks for their own purposes.

Our platform provider

This store runs on Shopify, which hosts the site and processes information about your visit and your order so that the store can operate. Shopify may handle that information under its own privacy terms as well as ours. Information held outside Canada

Some of our service providers store or process information outside Canada, including in the United States. While information is held in another country, it may be accessible to that country’s courts, regulators, and law enforcement under that country’s laws. By using this site you acknowledge that this transfer takes place.

How long we keep it

We keep order and transaction records for as long as tax, customs, and commercial law require. Other personal information is kept only as long as needed for the purposes described in this policy, and is deleted or anonymised after that.

How we protect it

We use industry-standard technical and organisational safeguards, including encryption in transit and restricted internal access to order data. No system is perfectly secure, and information sent to us over the internet is never completely risk-free, so please do not send sensitive documents through unsecured channels. If you believe your account or order information has been compromised, contact us immediately.

Your rights

Subject to the limits set out in law, you may:

  • Ask what personal information we hold about you, and request a copy of it.
  • Ask us to correct information that is inaccurate or incomplete.
  • Ask us to delete information, where we are not legally required to keep it.
  • Withdraw marketing consent at any time.
  • Ask us to explain how we handled your information.

Email your request to support@vitallabspeptides.com. We respond within 30 days. We may need to verify your identity first, and we will not treat you differently for making a request. You may appoint an authorised agent to act for you, in which case we will ask for proof of that authority.

Cookies

We use cookies to keep your cart between pages, remember your preferences, confirm that you have passed the age check, and understand how the site is used. You can block or delete cookies in your browser settings, but parts of the site — including the cart — may stop working correctly if you do.

Complaints

If you are unhappy with how we have handled your personal information, contact us first at support@vitallabspeptides.com and we will try to resolve it. If you are not satisfied with our response, you have the right to complain to the Office of the Privacy Commissioner of Canada, or to your provincial privacy commissioner where one has jurisdiction.

Changes to this policy

We may update this policy to reflect changes in our practices or our legal obligations. The revised version takes effect when it is posted here, and we will update the date at the top. Material changes will be notified where the law requires it.
